Lazuli Privacy Notice
When you create a Lazuli account, apply for housing or register an interest in cancellation availability, we use your information to manage your housing requests and communicate with you.
Lazuli is the trading name of Virgin Beach Development Co Ltd, located at True Blue, St. George’s, Grenada. For questions about your information, contact info@lazuligrenada.com.
Information we collect
- Account and contact information: your name, email address, date of birth, phone number, account verification and sign-in information.
- Study and housing information: your institution/program, SGU Student ID where applicable, academic term dates and progression, expected completion, housing dates, occupancy, selected lease and rent, and the opportunities you choose.
- Your answers and requests: your answers about living with an animal and smoking, what you tell us about yourself, and any additional housing information you provide.
- Partner information: the proposed partner’s name and email, their response and information they provide through their own account.
- Records of processing: submissions, changes, withdrawals, confirmations, staff review notes and flags, communications and delivery records, and security/technical records needed to operate the service.
Required questions are identified in the application flow. You can save an incomplete draft, but missing required information may prevent submission or registration. Additional information is optional. Please do not include passport copies, medical documents or disability/service-animal details in free-text answers.
How we use your information
We use it to maintain your account, process and review your housing requests, match your academic dates to available lease choices, calculate or review applicable rent, manage proposed partner participation, contact you about your requests, and maintain secure and reliable records.
We also use information already held in the portal to produce aggregate statistics about accounts, saved drafts, applications and cancellation interests, to understand demand and improve the service.
The portal uses the academic information you provide to estimate completion dates and identify lease choices or matters needing review. You can review the result and report a correction. An animal or smoking answer of Yes is recorded for review; it does not automatically reject your application. Submitting an application or registering a cancellation interest does not reserve a room or guarantee accommodation.
We keep previous confirmed versions and changes so we can understand what was submitted and what happened afterwards. Withdrawing a request changes its status; it does not immediately erase its history.
Information from an earlier registration or another applicant
If you previously joined Lazuli’s standby list, we may bring your earlier registration into the portal to continue handling that request. An imported registration does not create a verified account. Before you can access an earlier registration, we verify your email address and check that the registration belongs to you.
If another applicant names you as a proposed partner, we receive the name and email they provide. You decide whether to participate after verifying your own account. If you do not recognise a proposal, you can contact us.
Who can see your information
Authorised Lazuli staff use the information needed to handle requests. Other applicants cannot browse your account or application.
A confirmed partner can see the shared application status, lease dates, rent and household membership. They cannot see your private profile answers, academic details, cancellation interests or staff notes through that shared view. They can withdraw their own participation; they cannot otherwise edit your application. The primary applicant is informed when a partner confirms, declines or withdraws.
We use service providers to host the portal, manage accounts and database storage/backups, deliver email, and maintain a restricted operational copy. These include Vercel, Supabase, Resend, Google and Microsoft. Providers receive the information needed for their service. The operational spreadsheet and staff exports contain a limited set of processing information; they do not include date of birth, SGU Student ID, free-text answers or private staff notes. Technical availability monitoring receives status signals rather than applicant records.
These services may process information outside Grenada. We may also disclose information where legally required or necessary to deal with a legal claim, subject to applicable requirements.
Browser storage
The portal stores sign-in/session information and temporary email-confirmation information in your browser so it can keep you signed in and manage the confirmation/resend steps. Signing out is important on a shared device.
How long we keep information
Our intended retention periods are 12 months without meaningful account activity for unused accounts and incomplete drafts, and 24 months after all housing requests have closed for applicants who never become residents. Simply opening the website does not count as meaningful activity. Open applications, cancellation interests and household participation prevent the closed-request period from starting.
Our policy is to delete or anonymise personal information that is no longer needed after these periods, subject to appropriate notice, checks for active records and legitimate retention obligations. We may need to retain particular records for a documented legal obligation, dispute or unresolved financial matter. Any such exception is limited to the information and period needed.
The portal currently flags records for review when these periods are reached; it does not automatically delete or anonymise them. An authorised review must determine what can be removed and complete the necessary checks and notice before any deletion or anonymisation. Retained account, profile and history information remains available for secure recovery until a deletion or anonymisation decision is carried out.
An inactive or archived profile is not the same as permanently deleted information. Secure account access lets you return to your existing identity and retained information. It does not reactivate old housing requests: select currently available opportunities and submit or register again where appropriate. Permanently deleted personal information cannot be restored by signing in; returning individuals normally create a new profile.
If you become a resident, the separate tenancy/accounting retention requirements will apply to the records needed for that relationship. Deleted information may remain temporarily in restricted backups or provider records until their retention periods expire. We include operational copies and exports in our retention procedures.
Access, correction and deletion requests
You can update supported information and manage your housing requests through your account. To request access, correct information you cannot edit, ask for deletion, or raise a privacy concern, email info@lazuligrenada.com. We may need to verify your identity before releasing or changing information. We will explain any information we need to retain and why. Withdrawing an application or cancellation interest is separate from asking us to delete your personal information.
Changes to this notice
We will date updated versions of this notice and make them available in the portal. If a change materially affects how we use your information, we will explain it appropriately.
